Flexible Booking Waiver

The Flexible Booking Waiver and the optional Cancel-For-Any-Reason (CFAR) Add-On let you recover the cancellation fees Roam Stays would otherwise keep when your plans change. They are cancellation fee waivers under Michigan law — not insurance. Purchase is entirely optional and never required to book.

1. What these waivers are

1.1  A cancellation fee waiver. The “Flexible Booking Waiver” and the optional “Cancel-For-Any-Reason (CFAR) Add-On” offered by ROAM MGMT (“we,” “us,” “Roam Stays”) are cancellation fee waivers — agreements between us and you (the “Guest”) to give back some or all of the non-refundable cancellation fees in your Roam Stays booking, on the conditions set out below.

1.2  Not insurance. A cancellation fee waiver is not insurance. It is not underwritten by an insurer and creates no pool of funds. Anything returned to you is a reduction of our own cancellation charge, paid from our operating account. This waiver does not pay medical or third-party costs of any kind.

1.3  What it applies to. These waivers apply only to the non-refundable portion of a stay booked directly with Roam Stays as the merchant of record. They do not apply to anything you book with a third party.

1.4  Definitions. “Non-Refundable Amount” means the cancellation fees Roam Stays would otherwise keep under your booking terms. “Immediate Family Member” means your spouse, domestic partner, child, parent, sibling, grandparent, or grandchild. “Travel Credit” means a non-cash credit issued to your Roam Rewards account toward a future Roam Stays booking.

2. Flexible Booking Waiver — qualifying events

The Flexible Booking Waiver gives back our non-refundable cancellation fees when you cancel for one of the documented reasons below and submit the required documentation. Reasons not on this list are not covered by the Flexible Booking Waiver — see the CFAR Add-On in Section 4 for cancellations outside this list.

2.1  Documentation standard. Documentation must be legible, in English (or with a translation), and independently verifiable. We may ask for reasonable additional evidence. Incomplete or unverifiable requests may be declined. Any medical documentation you send is used only to review your request and is retained no longer than needed for that purpose.

3. What the Flexible Booking Waiver gives back

3.1  Amount. On approval, we give back 100% of the Non-Refundable Amount on the Roam Stays portion of your booking.

3.2  How it is paid. We fulfill an approved Flexible Booking Waiver by one of the following, at our election unless stated otherwise at checkout:

  • Travel Credit (primary) — a credit equal to 100% of the Non-Refundable Amount, added to your Roam Rewards account and valid for 12 months from issue.
  • Cash refund (alternative) — a refund of 100% of the Non-Refundable Amount to your original payment method.

4. Cancel-For-Any-Reason (CFAR) Add-On

4.1  What it is. The optional CFAR Add-On gives back up to 60% of the Non-Refundable Amount when you cancel your Roam Stays booking for any reason — including reasons not listed in Section 2 — provided the conditions below are met.

Purchase windowThe CFAR Add-On must be purchased within 48 hours of your original booking. It cannot be added later.
Cancellation deadlineYour cancellation request must reach us at least 7 days (168 hours) before your check-in date. The CFAR Add-On is not offered on bookings made fewer than 7 days before check-in, because it could never be used.
Whole bookingCFAR applies only when the entire Roam Stays booking is cancelled — not partial or per-guest cancellations, unless stated at checkout.
AmountA Travel Credit equal to 60% of the Non-Refundable Amount. The remaining 40% is not given back.
How it is paidTravel Credit to your Roam Rewards account only, valid for 12 months from issue. CFAR is not paid as cash unless we expressly state otherwise.
Reason or documentationNone required, provided the conditions above are met.

4.2  You choose one, not both. If your cancellation qualifies under Section 2, you may request the Flexible Booking Waiver’s 100% instead of the CFAR 60%. You may not receive both for the same booking.

4.3  Legal basis. Michigan law defines a cancellation fee waiver to include waiving cancellation fees “with or without regard to the reason for the cancellation,” which is why a cancel-for-any-reason waiver of our own fees is not insurance.

5. What these waivers do not do

Both the Flexible Booking Waiver and the CFAR Add-On are limited to giving back our own cancellation fees. They are not insurance and do not provide any of the following:

  • No medical costs. No payment for emergency rooms, doctors, hospital stays, medication, or any medical care.
  • No medical transport. No arranging or paying for emergency medical transport, air ambulance, or flights home.
  • No third-party components. No waiver or refund for flights, rental cars, tours, or anything booked outside your Roam Stays booking.
  • No cash for property. No payment for lost, stolen, delayed, or damaged belongings.
  • No out-of-window events. No waiver for cancellations that miss the applicable deadline (Section 4) or lack required documentation (Section 2).
  • The waiver fee is non-refundable. The fee you pay for the waiver itself is never returned as part of any waiver.
  • Fraud voids the waiver. Misrepresentation or falsified documentation voids the waiver and any credit or refund.

6. How to request a waiver

  • Email stays@roammgmt.com within 30 days of the event (or of cancelling, for CFAR).
  • Include your booking reference and, for the Flexible Booking Waiver, the documentation listed in Section 2.
  • We review and respond within 10 business days.
  • Approved Travel Credits are added to your Roam Rewards account; approved cash refunds return to your original payment method within 14 business days.

7. General terms

7.1  Price and separate charge. Each waiver is an optional service shown as a separate line item at checkout. The Flexible Booking Waiver costs 7.5% of your total booking value; the CFAR Add-On costs 12.5% of your total booking value. “Total booking value” means the full booking total, including cleaning fees and taxes. Purchase is voluntary and not required to book.

7.2  Your acknowledgment. By adding a waiver at checkout, you confirm you have read and agree to these terms and understand the waiver is not insurance.

7.3  One per booking; non-transferable. Each waiver applies to a single booking, is non-transferable, and has no cash value except as expressly stated.

7.4  Good-faith review. We review requests reasonably and in good faith against these written criteria.

7.5  Changes. We may update these terms going forward; the version in effect when you purchased governs your booking.

7.6  Governing law and disputes. These terms are governed by the laws of the State of Michigan, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to these terms will be resolved by binding arbitration seated in Kent County, Michigan. The party that files for arbitration is responsible for the arbitration fees.

8. Required disclosure

This waiver is a contractual agreement between ROAM MGMT and the guest to modify cancellation charges. It is not an insurance policy, is not underwritten by an insurance company, and does not provide medical or third-party financial coverage. The Cancel-For-Any-Reason Add-On is likewise a cancellation fee waiver, not insurance.
